7 processes an SME can automate with AI today
· 2 min read
"We want to do something with AI, but where do you start?" We hear that question a lot. The answer is rarely a big transformation project. Usually you start with a process that takes time every week, follows clear rules and where mistakes hurt.
Here are seven processes we automate most often in SMEs, with what an AI agent actually does in each.
1. Invoicing
Today: retyping data from your operational system, checking it against contracts and creating invoices. With AI: an agent pulls the data, checks it against the price agreements and creates the invoice in your accounting software. Exceptions go to a person.
A logistics company we worked with went from invoicing across three systems to invoicing that is virtually error-free. Read how automating invoicing works.
2. The support mailbox
Today: someone reads every email, decides who should handle it and answers the same questions over and over. With AI: an agent sorts incoming emails, summarises them, drafts a reply and routes them to the right person based on topic and priority. Your team approves the reply instead of writing it from scratch.
3. Intake of requests
Today: quote requests, claims or registrations arrive by email, form and PDF, and are entered by hand. With AI: an agent extracts the relevant data from each document, enters it into your system and flags what's missing.
4. Lead follow-up
Today: leads from your website, trade fairs and campaigns sit idle or end up with the wrong salesperson. With AI: every lead is enriched with public company information, scored and assigned straight to the right owner in your CRM.
5. Reporting
Today: every Friday, copying numbers from different systems into an Excel report. With AI: a dashboard that's always up to date, plus an agent that flags anomalies, such as a cost spike or a drop in deliveries, before anyone asks.
6. Planning and dispatch
Today: planners juggle phone calls, WhatsApp and Excel. With AI: an agent builds the schedule based on availability, location and deadlines, and adjusts it when something changes. At one of our clients, dispatchers won back more than 4 hours a day.
7. Internal knowledge questions
Today: colleagues interrupt each other with questions about procedures, products or HR rules. With AI: an assistant that knows your own documents answers those questions in Teams or Slack, with sources. Read how that works.
Where do you start?
Hold your processes up against these three questions:
- How much time does it take per week? The more, the bigger the gain.
- Are the rules clear? Processes with clear rules and few exceptions are the best candidates.
- What does a mistake cost? Where mistakes cost customers or money, automation pays off fastest.
The process that scores high on all three is your starting point. Start with that one process, measure the result and expand from there.
